Define the product and the role first

A useful evidence workflow starts with a specific product or SKU, target market, sales channel and company role. A manufacturer, importer and distributor may need different reviews. Do not begin by treating a generic list as a complete answer for every product.

Record the category and the intended use, including any facts that may change the assessment. Assign someone qualified to determine applicability and document the reasoning. EU Commerce Desk organizes this review; it does not certify the product.

Separate requirement drafts from reviewed records

Starter requirements are drafts with source links. Review their scope, exceptions, effective dates and relevance before relying on them. Keep the source reference and a dated review so another team member can see how the requirement was selected.

A change in the product, market or requirement can invalidate an earlier conclusion. Use a revision and change record rather than silently editing away the history. A reviewed requirement should have an owner and a next review date where appropriate.

Connect evidence to its context

Attach evidence to the product, market and requirement it supports. Record the document version, review status and any expiry date. A file uploaded to a folder is not automatically an approved answer to a requirement.

An illustrative workflow is: draft requirement → applicability review → evidence request → document review → recorded decision. The decision should say what was checked, by whom, and which evidence version supports it. Missing or expired evidence should remain visible.

Use the matrix to prioritize work

Review product-market-channel readiness and turn gaps into assigned actions. A status summarizes the recorded checks; it is not proof that every legal obligation has been identified. Resolve critical gaps with the responsible reviewer before making a market decision.

EU Commerce Desk provides evidence records, supplier requests, action history and review tools. It does not provide an automatic legal-monitoring feed. Use current official sources and qualified review for regulatory decisions.
